Privacy Policy

Almost everything RaidOps stores exists to run your guild’s raid operations:

• Battle.net sign-in: your battletag, a Battle.net account identifier, and the list of your World of Warcraft characters (name, realm, class, guild membership), provided through Battle.net’s sign-in flow.
• Guild roster data: character and audit data your guild syncs from WowAudit.
• Combat data: raid report and performance data fetched from Warcraft Logs for your guild, and raw combat log files your guild uploads.
• Mythic+ data: scores and season data fetched from Raider.IO.
• Discord: if you link Discord, your Discord user ID, and for guilds using the bot, the server and channel IDs it posts to.
• Recruiting: what applicants submit on a guild’s application form, such as battletag, Discord name, characters, and answers.
• Content you create: notes, messages, loot decisions, check-ins, and absence dates.
• Billing: payments are processed by Stripe. We store your guild’s subscription status and a Stripe customer reference, never card numbers.
• Technical data: server and error logs (which can include IP addresses) and the essential cookies described below.

We do not run advertising or third-party analytics trackers, and we do not sell personal data.

We use this data to operate the Service: showing rosters and performance analysis, running loot, recruiting, and raid planning features, sending the Discord notifications your guild configures, handling billing, providing support, debugging problems, and preventing abuse.

When someone in your guild runs an AI analysis, the relevant log and roster data is sent to the AI provider your guild has configured (Google Gemini, Anthropic, OpenAI, or Z.ai) using your guild’s own settings and key. That provider processes the data under its own terms. We only send data when an analysis actually runs, and we do not use your data to train AI models. For guilds that enable the Discord officer assistant, messages posted in the guild’s configured officer channel (and threads under it) are also sent to the guild’s chosen AI provider to generate responses, and officers see a disclosure notice in that channel when it is turned on. That assistant also keeps short notes about how the guild operates, such as raid strategy or recruiting status. It posts every note publicly in the officer channel as it is saved, officers can delete any of them at any time, and it does not store notes about a person’s health, job, finances or personal life.

• With your guild: members see your character and performance data according to the guild’s rank-based permission settings.
• Public pages: guilds can create publicly viewable pages, such as shared analyses, a guild profile, season recaps, and application forms. Anything on those pages is visible to anyone with the link.
• Service providers: Stripe for payments, our hosting provider, the AI provider your guild configures, and Discord for notifications, each only receiving what they need for their function.
• Wowhead tooltips: pages load Wowhead’s tooltip script so item and spell links show game tooltips. Your browser requests that script from Wowhead’s servers, which receive your IP address like any web request, and the script may set its own cookies.
• Legal reasons: if required by law, or to protect the Service and its users.

We set essential cookies only: keeping you signed in, protecting against request forgery, and remembering which guild and team you selected. We set no advertising or tracking cookies. The Wowhead tooltip script described above may set its own cookies under Wowhead’s policies.

We keep data while your account or guild is active. Deleting a guild deletes the data stored for it. You can ask us to delete your account and its data by emailing support@raidops.io. Server and error logs are kept only as long as needed for debugging and security.

Traffic to the Service is encrypted with HTTPS. API keys your guild provides are stored encrypted (AES-256-GCM), and access to production systems is restricted. No online service can promise perfect security, but we take reasonable measures to protect your data.

Depending on where you live, you may have rights to access, correct, delete, or receive a copy of your personal data, and to object to or restrict certain processing. For users in the EU or UK, we process data to provide the Service you asked for (contract), to run and secure it (legitimate interests), and where you have given consent. California residents have rights to know, delete, and correct their personal information, and to not be discriminated against for exercising them; we do not sell or share personal information for cross-context advertising. To exercise any of these rights, email support@raidops.io. We may need to verify your identity first.

Your data may be processed in the United States or other countries where our infrastructure or service providers operate. Data protection laws there may differ from those where you live.

The Service is not directed at children under 13, and we do not knowingly collect their data. If you believe a child under 13 has an account, contact us and we will delete it.

We may update this policy. The date at the top shows when it last changed, and we will give notice on the site for material changes.
